Bookings are the foundation of the Kadence web and mobile apps, and allows you to see not only when your colleagues are booking, but also where.
Collaborate easily with your colleagues, or make sure you always get your favorite desk by booking through Kadence.

Prerequisites:
- You must be invited to your company's Kadence instance before you can use it
- Login to the web app via https://auth.chargifi.com/
- Login to the Kadence Android or iPhone app
Web App
Make new bookings easily by following our straightforward booking flow. Follow the steps below to learn how:
- Navigate to “Bookings” from the left-hand menu, then click on “New booking” in the upper right-hand corner
- On the new booking screen, you will see three sections on the left-hand side. In the "Where" section, you will be able to choose if you require a desk booking or an onsite booking. If you are booking a desk, select the building and floor you would like to book on, as well as any amenities you will need at your desk. If you are making an onsite booking, you will only need to select the building
- In the "When" section, you can choose the date and time of your booking, as well as if you would like to repeat the same booking on different days for a certain amount of time
- In the "Who" section, you will be able to select who you are making the booking for. Please note that only admins and team managers are able to book on behalf of other registered employees in Kadence. In order to make bookings for guests, you will need your admins to enable this feature in the admin settings, see: Admin Settings: Visitor Management
- Once you are happy with your choices, click on “Next” in the lower right-hand corner
- Here you will be presented with the floor plan, and a list of available spaces for you to book
Note: If you are part of a team, you may also see a pink silhouette in the upper left-hand corner of the floorplan. Clicking on this will show you members of your team that have a booking during the same time you have chosen, their booked desks will also appear in orange. - Select the space you want from either the list or the floorplan to move on to the next screen. Here you will see the details of your booking and selected space. If you are happy with everything, click on “Book this space” in the lower right-hand corner
- You will then be taken to the booking confirmation page. If your building has available parking, you can select it from this screen. Clicking on “Confirm booking” will take you to the booking complete screen, again showing you the details of your booking and selected space as well as the ability to share your booking with others
- That's it! You're all done once you confirm your booking. Closer to the time of your booking you may also receive notifications regarding self-certification, booking starting soon, and check-in reminders. To manage your notifications, see: My Profile and Settings
Mobile
Make new bookings easily by following our straightforward booking flow. Follow the steps below to learn how:
- Make a booking by tapping the “New booking” button on the home screen. Alternatively, you can tap on the plus (+) icon in the upper right-hand corner of the “Bookings” screen.
- On the new booking screen, you can select the building, floor, any amenities you would like at your desk, as well as the date and time of your booking. You also have the option of repeating this specific booking, and selecting which days you would like to repeat it on.
- Once you are happy with your choices, tap on “Find a space”.
- In the "Find a space" screen you will be presented with the floor plan, as well as a list of available spaces for you to book.
Note: If you are part of a team, you may also see a pink silhouette in the upper left-hand corner of the floorplan. Clicking on this will show you members of your team that have a booking during the same time you have chosen, their booked desks will also appear in orange. - Select the space you want from either the list or the floorplan to move on to the booking confirmation page. If your building has available parking, you can select it from this screen. You will also be presented with the details of your booking and selected space. If you are happy with everything, tap “Confirm booking”.
- You will then be brought to the booking complete page, where you will see all the details of your booking, and you will be given the option to share your booking with others. You can also go back to the bookings tab by tapping on "View upcoming bookings" at the bottom of the screen.
- That's it! You're all done once you confirm your booking. Closer to the time of your booking you may also receive notifications regarding self-certification, booking starting soon, and check-in reminders. To manage your notifications, see: My Profile and Settings
