If you're new to Kadence, and want to know what it's all about then this quick overview should be everything you need to get a running start.

Prerequisites:
- You must be invited to your company's Kadence instance before you can use it
- Login to the web app via https://auth.chargifi.com/
- Login to the Kadence Android or iPhone app
Web App
When you open auth.chargifi.com in your web browser, you will see this sign on screen.
If you received an email asking you to create a password, enter your email and the password you created. If you did not get an email, then it is likely your company uses Single Sign On (SSO). Select the system your company uses and sign in with your SSO credentials.
Next, set up your profile by following the steps provided and filling in the requested information.
Setting up your personal Kadence will help you and your team collaborate and plan in-person days. Your personal Kadence can be updated each week by going to your profile. This can be accessed by clicking on your profile picture in the upper right-hand corner.
After completing your profile, you are ready to make a booking.
Navigate to “Bookings” from the left-hand menu, then click on “New booking” in the upper right-hand corner.
On the new booking screen, navigate through the three sections to manage the details of your booking. The "Where" section lets you choose where your booking will take place, and whether or not you need to book a desk. In the "When" section, choose which date and time your booking will take place, as well as if you would like to repeat that specific booking on other days. In the "Who" section, you can select who you are making the booking for*.
Once you are happy with your choices, click on “Next” in the lower right-hand corner.
Here you will be presented with the floor plan, and a list of available spaces for you to book. If you are part of a team, you may also see a pink silhouette in the upper left-hand corner of the floorplan. Clicking on this will show you members of your team that have a booking during the same time you have chosen, their booked desks will also appear in orange.
Select the space you want from either the list or the floorplan to move on to the next screen. Here you will see the details of your booking and selected space. If you are happy with everything, click on “Book this space” in the lower right-hand corner.
You will then be taken to the booking confirmation page. If your building has available parking, you can select it from this screen. Clicking on “Confirm booking” will take you to the booking complete screen, again showing you the details of your booking and selected space as well as the ability to share your booking with others.
Once you have made your booking, you may be asked to self-certify. To self-certify navigate to “Bookings” using the left-hand menu, and click on your booking. This will take you to your booking page. Click on “Self-certify” in the lower right-hand corner, click on the checkbox, then click on “Confirm”.
Alternatively, you can use the link in either your self-certification push or email notification to navigate quickly to your booking page.
To check in to your booking, click on the link in your check-in reminder email. This will take you to your booking page. Click on “Check-in” in the lower right-hand corner to check-in to your booking. This will ensure you do not lose your space, and will also let others know you have made it to your booking.
To cancel your booking, navigate to "Bookings" from the left-hand menu, and click on the booking you would like to cancel. Scroll down, and click on the red "Cancel booking" button, confirm your choice and you will get a confirmation in the upper right-hand corner of the screen that your booking has been cancelled.
You can also see members of your team and when they are coming into the office by navigating to the "Directory" tab at the bottom of the screen. Here you can view "My teams" and "Colleagues".
The "Colleagues" tab will show you all of the users registered to Kadence in your company, you can search for a specific person, or scroll through. Tap on any user to view more information about them and when they like to work.
By tapping on a team in the "My teams" screen you can see your team members' upcoming bookings. Tap on different days to see when people are coming in, or tap on a specific team member to read about them and view their specific upcoming bookings.
That's it! You're ready to start setting up your bookings and creating a work schedule that fits you best.
*Please note that only admins and team managers can book on behalf of other registered employees. To be able to invite guests to your building, your admins will need to have this feature enabled in the admin settings. See: Admin Settings: Visitor Management
Mobile
When you open the mobile app and click “Sign In” you will see this sign on screen.

Next, set up your profile by following the steps provided and filling in the requested information.

After completing your profile, you are ready to make a booking.
You can find the “New booking” button on the home screen of the mobile app, or you can tap on the plus (+) icon in the upper right-hand corner of the “Bookings” screen.
On the new booking screen, you can select the building, floor, any amenities you would like at your desk, as well as the date and time of your booking. You also have the option of repeating this specific booking, and selecting which days you would like to repeat it on.
Once you are happy with your choices, tap on “Find a space”.
After tapping on "Find a space" you will be presented with the floor plan, as well as a list of available spaces for you to book. If you are part of a team, you may also see a pink silhouette in the upper left-hand corner of the floorplan. Clicking on this will show you members of your team that have a booking during the same time you have chosen, their booked desks will also appear in orange

You will then be brought to the booking complete page, where you will see all the details of your booking, and you will be given the option to share your booking with others. You can also go back to the bookings tab by tapping on "View upcoming bookings" at the bottom of the screen.
Once you have made your booking, you may be asked to self-certify. To self-certify navigate to “Bookings” from anywhere in the app, then click on your booking. This will take you to your booking page. Tap on the pink “Self-certify” button at the bottom of the page, tick the checkbox by tapping it, then tap "Confirm".
To check in to your booking, navigate to the "Bookings" tab, and click on your ongoing booking. This will take you to your booking page. Tap on “Check-in” at the bottom of the screen to check-in to your booking. Checking in ensures that you do not lose your space, and also lets others know you have made it to your booking.
To cancel your booking, navigate to the "Bookings" tab, and click on the booking you would like to cancel. Scroll down, tap on the red "Cancel booking" button, and confirm your choice. You will then receive an email to confirm that your booking has been successfully cancelled.
You can also see members of your team and when they are coming into the office by navigating to the "Directory" tab at the bottom of the screen. Here you can view "My teams" and "Colleagues".
By tapping on a team in the "My teams" screen you can see your team members' upcoming bookings. Tap on different days to see when people are coming in, or tap on a specific team member to read about them and view their specific upcoming bookings.
