With the visitor management feature it couldn't be easier to invite interviewees, clients, and suppliers to visit you onsite through Kadence.

Prerequisites:
- Login to the web app via https://auth.chargifi.com/
- Login to the Kadence Android or iPhone app
- Visitor management must be enabled in the admin settings, see: Admin Settings: Visitor management
Web App
Invite guests to your building by following the steps below:
- Navigate to “Bookings” from the left-hand menu, then click on “New booking” in the upper right-hand corner.
- On the new booking screen, you will see three sections on the left-hand side. In the "Where" section, you will be able to choose if your guest will require a desk or not for their visit. If you are booking a desk, select the building and floor the guest will be working on, as well as any amenities they may need at their desk. If you are making an onsite booking, you will only need to select the building.
- The “When?” section allows you to decide the date and time of the visit. The all-day booking toggle is by default set to ‘on’; however, you can click on the toggle to turn it off and select a specific time frame instead.
- If this visit will be a recurring event, simply toggle on “Repeat booking”. Here you can select the day(s) of the week you would like to repeat the visit, as well as how far in the future you want it to recur.
- The “Who?” section will be pre-populated with your own name. Click on the (X) to remove your name from the booking and enter in the email address of the guest you are inviting. Click on "Invite <email> as a guest", then enter the first and last name of your guest (optional). By default, you are automatically hosting the guest however admins and some team managers can change the host and make delegate visitor bookings. The host will receive a confirmation email, arrival notification once the guest has checked in and, in the event of a cancellation, a cancellation email.
- Continue on the regular booking flow to create the booking. Once you have confirmed the booking the host will receive a confirmation email, and the guest will receive an invitation email.
- That's it, you're done! Closer to the time of the visit, your guest may be asked to complete a health check (depending on your building policies). They will also receive an email notification 1 hour prior to the booking time asking them to check in upon arrival. The check in will trigger the arrival notification for the host.
Note, if set up in the building settings, your visitor emails will also contain arrival instructions.
Mobile
Invite guests to your building by following the steps below:
- Make a booking by tapping the “New booking” button on the home screen. Alternatively, you can tap on the plus (+) icon in the upper right-hand corner of the “Bookings” screen.
- On the new booking screen, you can select whether your guest will need a desk or is simply visiting onsite. If you are booking a desk, select the building and floor the guest will be working on as well as any amenities they may need at their desk. If you are making an onsite booking, you will only need to select the building.
- To invite a guest, tap anywhere in the "Book for" field, then select "Invite a guest". Enter your guest's email address and, optionally, their first and last name then tap "Invite" in the upper right-hand corner.

- You will then be brought back to the new booking screen, where you can select the date and time of the visit, as well as whether the visit will be repeated in the future by tapping on the "Repeat" field.
- Continue on the regular booking flow to create the booking. Once you have confirmed the booking the host will receive a confirmation email, and the guest will receive an invitation email.
- That's it, you're done! Closer to the time of the visit, your guest may be asked to complete a health check (depending on your building policies).
